Mint Agent Inc ("Mint Agent," "MAI," "we," "us," or "our") respects your privacy.

This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit MintAgent.com, create an account, purchase MAI Credits or products, submit photographs for MAI Photo Grading, create or access an MAI digital record, use an MAI Asset Holder, contact us, or otherwise use our websites, applications, products, and services (collectively, the "Services").

This Policy should be read together with our Terms of Service and any additional notices presented when information is collected.

An Important Note About MAI Collectible Records

MAI is different from many online services because one of our products is a persistent digital record associated with a physical collectible.

When you submit a coin, casino chip, medal, token, bullion item, or other supported collectible for MAI Photo Grading, certain information about that collectible may become part of an MAI record that can be viewed publicly without an MAI account.

Depending on the Service, that public record may include:

  • photographs of the collectible;
  • an MAI serial number;
  • identification information;
  • an MAI grade;
  • condition details;
  • counterfeit-screening observations;
  • visible attributes;
  • activation status;
  • photographs associated with Holder activation; and
  • other information describing the collectible.

Your private account information—such as your email address, password, billing information, or shipping address—is not made public merely because you create an MAI collectible record.

Because the purpose of an MAI record is to remain associated with the collectible as it is kept or transferred, the collectible record may remain available after the original submitter sells the collectible, transfers it, or closes an MAI account.

Please do not include people, addresses, financial documents, correspondence, account numbers, or other private information in photographs submitted for collectible grading.

1. Information We Collect

The information we collect depends on how you interact with MAI.

Information You Provide to Us

Account and Profile Information

When you create or maintain an MAI account, we may collect information such as:

  • name;
  • email address;
  • telephone number;
  • account username or identifier;
  • password or authentication credentials;
  • account preferences;
  • communication preferences; and
  • other information you choose to provide.

Passwords are intended to be stored in protected or cryptographically secured form rather than as readable passwords.

Contact and Shipping Information

When you purchase physical products, we may collect:

  • name;
  • billing address;
  • shipping address;
  • email address;
  • telephone number; and
  • delivery or fulfillment information.

Payment and Transaction Information

When you purchase MAI Credits, MAI Asset Holders, Custom Grade Labels, photography equipment, accessories, or other products or services, we collect transaction information such as:

  • products or services purchased;
  • amount paid;
  • MAI Credits purchased, awarded, or used;
  • transaction date;
  • payment status;
  • refunds;
  • chargebacks;
  • shipping charges; and
  • related order information.

Payment card information may be collected and processed by third-party payment processors on our behalf. MAI generally receives payment confirmation and limited transaction information rather than complete payment-card credentials.

Collectible Photographs and Grading Submissions

When you use MAI Photo Grading or related Services, we may collect:

  • front and back photographs;
  • additional collectible photographs;
  • images taken inside an MAI Asset Holder;
  • image metadata where available;
  • collectible descriptions supplied by you;
  • information about the claimed identity of the collectible;
  • user-provided corrections or feedback; and
  • other information submitted with the grading request.

MAI may process these photographs to crop, rotate, resize, enhance, segment, measure, compare, annotate, or otherwise prepare them for analysis.

MAI Grading and Analysis Information

Our systems may generate information concerning the collectible, including:

  • identification;
  • denomination;
  • date;
  • mintmark;
  • variety or type;
  • casino or issuing entity;
  • location;
  • issue;
  • condition;
  • MAI grade;
  • grading observations;
  • visible surface characteristics;
  • suspected alterations;
  • counterfeit indicators;
  • Details designations;
  • measurements or estimated measurements;
  • model confidence information;
  • image-quality information;
  • comparison information; and
  • other analytical results.

We may maintain intermediate analytical information used to create, review, validate, troubleshoot, or improve a result.

Customer Service and Communications

When you contact us, we may collect:

  • your contact information;
  • the content of your communication;
  • account or order information;
  • photographs or attachments;
  • customer-service history; and
  • information necessary to investigate or resolve your request.

2. Information Collected Automatically

When you visit or use the Services, we and our service providers may automatically collect information such as:

  • IP address;
  • browser type;
  • device type;
  • operating system;
  • device identifiers;
  • referring and exit pages;
  • pages or features viewed;
  • date and time of access;
  • session duration;
  • clicks and interactions;
  • general geographic location derived from IP address;
  • crash reports;
  • performance information;
  • diagnostic information; and
  • other technical information about how you interact with the Services.

We use this information to operate, secure, troubleshoot, analyze, and improve MAI.

3. Cookies and Similar Technologies

MAI and our service providers may use cookies, pixels, local storage, software development kits, log files, and similar technologies.

These technologies may be used to:

  • keep you signed in;
  • remember your preferences;
  • maintain shopping carts or sessions;
  • prevent fraud and abuse;
  • understand how the Services are being used;
  • measure website performance;
  • diagnose technical problems;
  • measure marketing effectiveness; and
  • improve our Services.

We and our service providers may use technologies that record how you interact with the Site (for example session recordings, heatmaps, or session replay). We use this information to understand product issues, improve the Services, and diagnose errors. These tools may capture pages you view and actions you take on the Site. We do not intentionally use them to collect payment card numbers or passwords.

Service Providers We Use

We may use the following service providers (among others):

  • Google Analytics — to measure how visitors use the Site (pages viewed, traffic, and related analytics).
  • Microsoft Clarity — to understand how visitors use the Site, including analytics, heatmaps, and session recordings.
  • Sentry — to monitor errors and reliability; this may include sampled session replay if enabled.
  • Shopify — to power our storefront, checkout, and related ecommerce hosting.
  • Ybug — an in-product feedback widget. If you submit feedback, we may receive your message plus related context such as the page you were on and (when provided) your name/email; reports can include a screenshot of the page.

We may use cookies and similar technologies for essential site functions and similar purposes (for example sign-in, cart, and security) and, with your choices where required. Where we present cookie or privacy preferences, you can make choices about non-essential cookies and similar technologies. You can also control many cookies through your browser settings; disabling some cookies may affect how the Site works.

4. Information From Other Sources

We may receive information from third parties, including:

  • payment processors;
  • shipping and fulfillment companies;
  • login or authentication providers;
  • fraud-prevention providers;
  • ecommerce providers;
  • analytics providers;
  • marketing and attribution providers;
  • customer-support providers; and
  • other companies that help us operate the Services.

We may combine information received from these sources with information we already maintain.

Information concerning collectibles may also be obtained from public or licensed reference sources, catalogs, databases, historical records, market information, numismatic references, casino-chip references, and similar sources.

5. How We Use Information

We use information to provide and operate the Services and for legitimate business purposes, including to:

  • create and maintain MAI accounts;
  • provide MAI Photo Grading;
  • identify collectibles;
  • generate condition grades and related analysis;
  • conduct visual counterfeit screening;
  • create MAI serial numbers and collectible records;
  • compare Holder activation photographs with grading photographs;
  • maintain persistent collectible records;
  • sell and administer MAI Credits;
  • process purchases and payments;
  • fulfill and ship MAI Asset Holders, Custom Grade Labels, photography equipment, and accessories;
  • provide customer support;
  • communicate about accounts, grades, records, transactions, and orders;
  • detect fraud, image manipulation, label misuse, record substitution, or other abuse;
  • protect users, MAI, and third parties;
  • monitor system performance;
  • diagnose errors;
  • maintain and secure our technology;
  • analyze how the Services are used;
  • conduct research;
  • improve grading quality and consistency;
  • develop, train, test, validate, evaluate, and improve artificial-intelligence and machine-learning systems;
  • develop new products and features;
  • comply with legal obligations;
  • establish, exercise, or defend legal rights;
  • enforce our Terms of Service; and
  • perform other purposes disclosed when the information is collected.

6. Artificial Intelligence and Machine Learning

Artificial intelligence, machine learning, computer vision, automated decision systems, statistical systems, deterministic software, and other technologies are fundamental to MAI Photo Grading.

When you submit photographs for analysis, your photographs and associated information may be processed by MAI systems and by service providers that provide computing infrastructure, artificial-intelligence technology, image processing, storage, or other technical services to MAI.

Improving and Training MAI's Technology

MAI may use collectible photographs submitted through the Services, together with grading results, corrections, feedback, annotations, measurements, model outputs, and related collectible information, to train, test, validate, evaluate, develop, and improve MAI's artificial-intelligence, machine-learning, computer-vision, grading, identification, and counterfeit-screening systems.

These uses may include:

  • evaluating system performance;
  • investigating incorrect or inconsistent results;
  • improving grading accuracy and consistency;
  • improving counterfeit detection;
  • improving collectible identification and attribution;
  • developing or improving computer-vision systems;
  • training artificial-intelligence and machine-learning models;
  • testing and validating new models;
  • comparing model performance;
  • creating and improving reference datasets;
  • developing new grading and analysis methods; and
  • improving existing or future MAI products and services.

This ability to learn from collectible photographs and grading results is an important part of how MAI develops and improves its technology.

Where reasonably practicable, MAI may use cropped, asset-focused, aggregated, de-identified, or otherwise minimized information for research and model-development purposes.

Third-Party AI Providers

MAI may use third-party artificial-intelligence, cloud-computing, or model providers to process information on our behalf.

Those providers may receive photographs, prompts, structured information, or other data necessary to perform services for MAI and are subject to the contractual terms and data-handling arrangements applicable to those services.

MAI does not authorize service providers to use personal information for purposes unrelated to providing their contracted services to MAI except where separately disclosed or permitted by law.

Images of People and Biometric Information

MAI's imaging systems are intended to analyze collectibles, not people.

MAI does not design its Photo Grading service to identify individuals through facial recognition or other biometric identification.

Please do not submit photographs containing identifiable people when photographs of the collectible alone are sufficient.

7. Public MAI Collectible Records

A core feature of MAI is the ability to create a digital record that can remain associated with a physical collectible.

When a public MAI record is created, information about the collectible may be accessible through:

  • MintAgent.com;
  • an MAI serial-number lookup;
  • a QR code;
  • an MAI Asset Holder;
  • links shared by users; and
  • potentially search engines or other services that index publicly accessible websites.

Public information may include the collectible photographs, grade, identification, serial number, details, and other collectible-specific information.

Public Records and Account Closure

Deleting or closing an MAI account does not necessarily require deletion of the public collectible record.

Where legally permitted, MAI may preserve the record while removing or separating personal account information from the collectible record.

This is because the record is intended to document the collectible and may be relied upon by a subsequent owner.

Information That Is Not Intended to Be Public

MAI does not intend to make the following information public merely because you create a collectible record:

  • your password;
  • payment-card information;
  • billing address;
  • shipping address;
  • private account email address;
  • private telephone number; or
  • private customer-service communications.

Do not nevertheless include private information within collectible photographs or descriptions intended for public display.

8. How We Disclose Information

We do not disclose personal information indiscriminately.

We may disclose information in the following circumstances.

Service Providers

We may provide information to companies that perform services for us, including:

  • cloud hosting;
  • data storage;
  • artificial-intelligence processing;
  • image processing;
  • cybersecurity;
  • payment processing;
  • ecommerce;
  • shipping and fulfillment;
  • printing;
  • email delivery;
  • customer support;
  • analytics;
  • fraud prevention;
  • authentication;
  • communications; and
  • technical support.

These companies receive information as reasonably necessary to perform services for MAI.

Public Collectible Records

As described above, collectible photographs and collectible-specific information may intentionally be made publicly accessible as part of an MAI record.

Business Affiliates and Corporate Transactions

We may disclose or transfer information in connection with:

  • a merger;
  • acquisition;
  • financing;
  • investment;
  • restructuring;
  • sale of assets;
  • bankruptcy;
  • reorganization; or
  • similar corporate transaction.

A successor may continue to use information consistent with this Privacy Policy or provide notice of materially different practices as required by law.

Legal and Safety Purposes

We may disclose information where we reasonably believe disclosure is necessary to:

  • comply with law;
  • respond to a subpoena, court order, or other lawful process;
  • respond to government or law-enforcement requests;
  • investigate fraud or illegal activity;
  • protect MAI's rights or property;
  • protect users or third parties;
  • investigate misuse of MAI records, labels, QR codes, or serial numbers;
  • investigate suspected counterfeit activity; or
  • establish, exercise, or defend legal claims.

With Your Direction or Consent

We may disclose information when you ask us to, authorize us to, or intentionally use a feature designed to make information available to another person.

9. Sale or Sharing of Personal Information

We do not sell or share personal information as those terms are defined under applicable U.S. state privacy laws, including California. We use service providers (such as analytics providers) to help operate and improve the Services under appropriate agreements.

If MAI's practices change in a manner that creates additional privacy rights under applicable law, we will update this Privacy Policy and provide any notices or choices required by law.

10. De-Identified and Aggregated Information

We may create information that has been aggregated, de-identified, anonymized, or otherwise modified so that it cannot reasonably be linked to an identifiable individual.

We may use such information for:

  • research;
  • statistics;
  • product development;
  • artificial-intelligence development and training;
  • grading-system evaluation;
  • counterfeit research;
  • business analysis;
  • benchmarking; and
  • other lawful purposes.

Where required by law, we will maintain de-identified information in de-identified form and will not attempt to re-identify it except as permitted for testing the effectiveness of de-identification or as otherwise allowed by law.

11. Data Retention

We retain information for different periods depending on why we collected it.

We generally retain information only for as long as reasonably necessary to:

  • provide the Services;
  • maintain MAI collectible records;
  • fulfill transactions;
  • maintain financial and tax records;
  • process warranties or returns;
  • prevent fraud;
  • maintain system security;
  • resolve disputes;
  • enforce agreements;
  • conduct legitimate research, AI training, and product improvement; and
  • comply with legal requirements.

Account Information

Account information generally may be retained while your account is active and for an appropriate period afterward for legal, security, fraud-prevention, accounting, and business purposes.

Transaction Information

Order, payment, tax, Credit, shipping, refund, and transaction records may be retained for the period required or permitted by applicable financial, tax, accounting, consumer-protection, and recordkeeping laws.

Collectible Records

Because MAI is designed to provide a persistent record associated with a collectible, collectible records and related collectible photographs may be retained for an extended period, including after the original submitter no longer owns the collectible or maintains an MAI account.

Where appropriate, MAI may separate personal account information from the collectible record rather than deleting the collectible record itself.

AI Training and Research Information

Collectible photographs, grading information, derived data, annotations, and related information used to train, test, validate, evaluate, or improve MAI's artificial-intelligence and machine-learning systems may be retained as reasonably necessary for those purposes.

Information incorporated into aggregated or de-identified research datasets or trained systems may be retained for longer periods where it can no longer reasonably be associated with an identifiable individual.

Retention periods may also depend on technical, contractual, fraud-prevention, legal, or security considerations.

12. Your Privacy Choices

Depending on your location and applicable law, you may have rights regarding your personal information.

These may include the right to:

  • request access to personal information we maintain about you;
  • request information about how your personal information is used;
  • request correction of inaccurate personal information;
  • request deletion of certain personal information;
  • receive certain information in a portable format;
  • opt out of activities where applicable law provides such a right; and
  • appeal certain decisions concerning a privacy request where required by law.

These rights are subject to exceptions.

For example, MAI may need to retain information to:

  • complete a transaction;
  • provide a requested Service;
  • maintain security;
  • prevent fraud;
  • comply with law;
  • maintain financial or tax records;
  • establish or defend legal claims;
  • maintain or improve artificial-intelligence systems as permitted by law; or
  • preserve a collectible record while separating personal account information from that record.

Please identify the nature of your request.

We may need to verify your identity before fulfilling certain requests. Verification requirements will depend on the nature and sensitivity of the requested information.

Where permitted by law, an authorized agent may submit a request on your behalf. We may request evidence of the agent's authority.

We will not discriminate against you for exercising privacy rights provided by applicable law.

13. California Privacy Rights

This section applies to California residents to the extent the California Consumer Privacy Act, as amended by the California Privacy Rights Act ("CCPA"), applies to MAI.

California residents may have the right to:

  • know the categories of personal information collected;
  • know the specific pieces of personal information collected;
  • know the categories of sources from which information was collected;
  • know the business or commercial purposes for collecting information;
  • know the categories of third parties to whom information is disclosed;
  • request deletion of qualifying personal information;
  • request correction of inaccurate personal information;
  • exercise applicable opt-out rights; and
  • receive equal service and pricing when exercising privacy rights.

Categories of Personal Information

During the preceding 12 months, MAI may have collected the following categories of personal information, depending on how an individual interacted with MAI:

  • Identifiers — Name, email, phone number, address, IP address, account ID. Used for accounts, transactions, shipping, security, support.
  • Customer records — Contact and account information. Used for providing Services and fulfilling orders.
  • Commercial information — Purchases, Credits, orders, grading transactions. Used for transactions, accounting, customer service.
  • Internet or network activity — Site activity, browser information, device information. Used for security, analytics, performance.
  • Approximate geolocation — Location inferred from IP address. Used for security, fraud prevention, analytics.
  • User-provided content — Collectible photos, descriptions, feedback. Used for Photo Grading, records, AI analysis and training.
  • Inferences and analytical information — Grading-related system outputs and usage information. Used for providing and improving MAI Services.
  • Sensitive personal information — Account credentials and certain payment information processed as necessary. Used for account security and transactions.

MAI does not seek to collect sensitive personal information unrelated to the operation of its Services.

We do not use sensitive personal information to infer characteristics about consumers for unrelated purposes.

Categories of Sources

Information may come from:

  • you;
  • your browser or device;
  • payment processors;
  • shipping and fulfillment providers;
  • analytics and technology providers;
  • fraud-prevention providers; and
  • other service providers.

Categories of Recipients

Depending on the information and Service involved, information may be disclosed to:

  • technology and hosting providers;
  • artificial-intelligence and image-processing providers;
  • payment processors;
  • shipping and fulfillment providers;
  • communications providers;
  • analytics providers;
  • fraud-prevention providers;
  • professional advisers;
  • government or law-enforcement entities where legally required; and
  • the public, solely with respect to information intentionally included in public MAI collectible records.

California "Shine the Light"

California residents may also request certain information concerning disclosures of personal information to third parties for their own direct-marketing purposes where California Civil Code Section 1798.83 applies.

Requests may be submitted to privacy@mintagent.com with "California Privacy Rights" in the subject line.

14. Marketing Communications

You may opt out of promotional emails by using the unsubscribe link contained in those messages or by changing available account preferences.

Even if you opt out of promotional communications, we may continue sending transactional or administrative communications concerning:

  • your account;
  • security;
  • purchases;
  • Photo Grades;
  • MAI Credits;
  • public records;
  • Holder orders;
  • shipping;
  • changes to our Terms or Privacy Policy; or
  • other Service-related matters.

15. Data Security

MAI uses reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, destruction, alteration, loss, or misuse.

These measures may include access controls, authentication, encryption, system monitoring, secured infrastructure, and other security practices appropriate to the nature of the information.

No internet-connected system or method of electronic storage is completely secure.

MAI therefore cannot guarantee absolute security.

You are responsible for protecting your account credentials and should notify MAI promptly if you believe your account has been compromised.

16. Children's Privacy

MAI's Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.

If we learn that personal information has been collected from a child under 13 without appropriate authorization, we will take reasonable steps to delete it.

MAI accounts and purchases are intended for adults as provided in our Terms of Service. Minors should use the Services only as permitted by those Terms and with appropriate parent or guardian involvement.

Parents or guardians who believe a child has provided personal information to MAI may contact us at privacy@mintagent.com.

17. Third-Party Websites and Services

Our Services may contain links to or interact with:

  • marketplaces;
  • payment processors;
  • shipping companies;
  • grading companies;
  • catalog or reference services;
  • social-media services; and
  • other third-party websites or applications.

Their privacy practices are governed by their own policies.

MAI is not responsible for the privacy practices of third-party websites or services that MAI does not control.

We encourage you to review their privacy policies before providing information to them.

18. International Users

MAI is based in the United States, and information may be processed and stored in the United States and other locations where MAI's service providers operate.

Privacy and data-protection laws in those jurisdictions may differ from those in your home jurisdiction.

Where applicable law requires specific safeguards for international transfers of personal information, MAI will use appropriate transfer mechanisms or other legally recognized safeguards.

19. Changes to This Privacy Policy

We may update this Privacy Policy as our technology, Services, business practices, or legal obligations change.

When we do, we will update the "Last Updated" date at the top of this Policy.

If we make a material change to how we use personal information, we may provide additional notice when required by law.

Our Privacy Principle

MAI is built around the collectible, not the collector's private information.

We use photographs and data to identify, grade, screen, document, and improve our understanding of physical collectibles. Certain information about the collectible is intentionally designed to persist and be shared. Your private account, payment, and contact information is not.
